Why Quick Send is a PhotoShelter File Delivery Favorite

Send files instantly with PhotoShelter's Quick Send tool

One of the advantages of using PhotoShelter is that it empowers your team to find what they need when they need it. 

No more digging through old hard drives or waiting around until someone is out of a meeting to get you what you need. By granting internal and external partners access to important files through your Portal, workflows just, well, flow.

While we love helping organizations build robust, searchable archives, we also recognize that sometimes speed is of the essence. Good news: we have a solution for that, too.

That’s where our Quick Send file delivery option comes in.  

Maybe you’ve fallen behind with applying metadata tags needed for searches. Perhaps there’s a tight deadline approaching. Scrambling to find the right photos to use during a viral moment with your team? In all of those instances, you need to be able to share a file or set of files instantly. 

Quick Send is a great way to send a batch of files to internal and external stakeholders without requiring logins, passwords, attachments, or third-party services. It can be used to send any file in your Library in seconds. 

Here’s how it works: 

While in a gallery within your PhotoShelter Library, select one or more files, then click the Actions menu and select ‘Quick Send’ from the dropdown. 


From there, you’ll be asked to select the type of download you want to provide from a list of file sizes and formats.

Immediately, a download link will be generated for the file(s) you’re sharing. For your security, the link is only valid for one week, then it expires. 

The last step is simple. Just copy the generated download link and send it along via text, in an ongoing email chain, a Slack message, etc., or use the provided email template in the pop-up window.

Once your link is out there, it only takes recipients a second to easily download the files. 

Eliminate the need for your teammates or stakeholders to search on your Portal with Quick Send. It’s simple, efficient, and one of the best ways to ensure everyone has what they need instantly. 

How the Baltimore Ravens use Quick Send

From sharing scroll-stopping game day photos on social media to making clips and celebrating fans to finding the right images to publish on their website, strong visual storytelling is critical to the Baltimore Ravens digital media strategy.

The Ravens use PhotoShelter for Brands to make sure images are always at their fingertips and one easy way they move images from point A to point B is Quick Send. 

Their PR team loves the Quick Send feature. When someone from the outside media requests a photo, a member of the PR staff just selects an image or two, selects “Quick Send” and sends it straight to the person’s inbox. No more need for DropBox or other online transfer services.

Quick Send Use Cases

Here are a few examples of various use cases when Quick Send can come in handy:

  • Working on a fun campaign that takes fans behind the scenes of your NFL, NBA, MLS or MLB team? Use Quick Send to share some of your favorite fan photos with players to share with their networks. They’ll instantly have access to hi-res files—and tons of reposts by devoted fans on social media— in no time at all.
  • Looking to share some teaser photos of new products with your company’s investors? Select the best product photos during a live photoshoot and share a Quick Send link with your stakeholders to receive immediate feedback.
  • Is your university redesigning its website? Use Quick Send to share a batch of preferred headshots and student life photos with your school’s web designer in seconds. 

Quick Send is the fastest and simplest way to get your files from point A to point B – no logins, passwords, attachments or third-party services required. 

And don’t worry. In instances where you want to password protect your photos, make downloads available indefinitely, or require a login to download for an added layer of security, you can do that with PhotoShelter too!
